Who we are

We are Holiday Home Yorkshire, a self-catering holiday cottage letting agent. All references to ‘we’ ‘our’ or ‘company’ within this policy is deemed to be for Holiday Home Yorkshire. We operate a website advertising and marketing privately-owned holiday homes for the purpose of operating as an agent in arranging holidays on behalf of the owners of those holiday homes. The personal information we collect about you

When making an enquiry or seeking to rent a cottage

When making an enquiry about a holiday or seeking to rent a property either by email, phone call or via our website we need to collect personal information from you in order to answer your enquiry about the holiday cottages we let or the services we offer.

The information we collect is likely to include;

  • Identification:name, title, date of birth, age/age range, gender.
  • Contact details:postal addresses (main and billing), phone numbers, email addresses.
  • Account login details:email address, password.
  • Bookings:property booked, holiday start/end dates, cost of holiday, amounts paid, limited details of other people booked on the same holiday (names, gender, age), if you have any pets.
  • Marketing preferences:whether you wish to receive marketing information from us, and if so, by which methods (postal, email, telephone, SMS).
  • Communication: emails, customer service cases

Our Newsletter

When requesting our newsletter via our website, while making a booking online, over the phone or via email we shall need to collect some personal information to enable us to send you our newsletter. This is likely to include your name and email address, together with your consent to receive communication from us.

Making an owner enquiry

If you are seeking to let your cottage via our website, or contact us in regards to any other services we offer, we shall need to collect personal details from you to enable us to manage your enquiry and supply you with the information you requested. The information we collect is likely to include, name, address, telephone number and email address. We shall also require information about the cottage you own which is likely to be the cottage name, details, address, cottage description, technical information, key pick up information, photos, videos of your cottage, historical information about prices and occupancy levels of your cottage if already let and any additional information we may need to help fulfil your requirements/request. If you choose to let your cottage through us we may ask for further information such as your bank details to enable us to transfer your payment for the bookings.

If you do not choose to let your cottage through us then you can request for this information to be deleted by contacting us via email to contactus@holidayhomeyorkshire.co.uk.

Business Partners

If you work for or supply services to Holiday Home Yorkshire, we shall collect the minimum amount of business specific personal data usually your name, business role and business contact details to enable us to manage the business relationship.

If you work for a business customer of Holiday Home Yorkshire, we shall collect the minimum amount of business specific personal data usually your name, business role and business contact details to enable us to manage the business relationship.

How we store, use and share your personal information for our core business

Customers who rent or enquire about a property we let

As outlined above we collect, store and use your personal data for our legitimate business interests. This data enables us to fulfil any current and potential future holiday booking or enquiry needs.

We will use your personal information to contact you in regards to any current booking(s) or enquiry(s). It also allows us to update you on any offers, opportunities and developments which could be of interest to you and beneficial in the future.

We act as an agent between the owner and the customer and as such we will only share the minimum amount of your personal information with the owner as required to secure your holiday booking or to answer your holiday enquiry. In additional if you the customer specifically request that we provide further information to the owner then we will do so and will only hold that information on your behalf as part of your booking record. We may at times need to share your information with the housekeeper, property manager, gardener and other suppliers of your chosen holiday cottage who work with us to deliver services for your stay.

Individuals who join our mailing list

If you have requested to join our mailing list you have consented to receiving contact from us in regards to our properties and services, offers and other marketing items which we believe will be of interest or potential benefit to you.  You can remove you consent at any time using the unsubscribe button on any of our email communication or by emailing us at contactus@holidayhomeyorkshire.co.uk. We use Campaign Monitor or Mail Chimp as our email service providers. They store your data on our behalf and will not contact you directly, nor will they sell or share your information. Owners who let or seek to let a property through us

As outline above we collect, store and use your personal data for our legitimate business interests and to enable us to answer your enquiry and to market and let your property.

We will use your personal information to contact you in regards to any current booking(s) or enquiry(s). It also allows us to update you on any offers, opportunities and developments which could be of interest to you and beneficial in the future.

We act as an agent between the owner and the customer and as such we will only share the minimum amount of your personal information with the customer as required to secure your holiday booking or to answer your holiday enquiry. In additional if you the owner specifically request that we provide further information to the customer then we will do so and will only hold that information on your behalf as part of your letting record.

On your behalf we may choose to advertise your cottage on websites belonging to other organisations. To enable us to do this we will share your cottage details with the organisation – only for the purpose of the marketing and promotion of your cottage on our behalf.

We may also share your information and /or your cottage information (including key pick-up information and cottage access information) with third party suppliers who we work with to deliver our services, such as; cottage cleaners, handymen and other suppliers).

Business Partners

As outline above we collect, store and use the business contact details of individuals working with our business for our legitimate business interests and to enable us maintain and manage our business relationship between Holiday Home Yorkshire and its commercial suppliers and customers.

Anonymous data

We collect anonymous details about visitors to our website. The purpose of this information being collected to generate site statistics, reports or for making informed improvements to our website and marketing activity. No single individual will be identifiable from the anonymised details collected for the above purposes.

How we may share your personal data and who may we share it with

We will disclose personal information under the following circumstances:

Third party services providers – we share information with third party suppliers for them to facilitate / provide services on our behalf. The providers include IT support service providers and providers who track our customers’ use of the website and services for us. What is not included in our Privacy Policy?

Consent & Contract

Where you give your consent for us to hold and process your data (either by making an enquiry or booking with us or by signing up for our brochure or our newsletter) then you only need to contact us to inform us to ask us to stop processing your data and/or to delete (to the extent possible) all your personal data (unless we are required by law to keep specific details).

Please note that where you make a booking to stay at one of our cottages, then we need to retain your information in order to process your booking and as such we won’t be able to delete your personal information until after your stay.

For owners letting your cottage with Holiday Home Yorkshire, we may need to retain your personal information and information relating to your cottage in order to comply with legal requirements to HMRC in respect of data retention regulations for accounting purposes and as such we won’t be able to delete your information until any statuary limitations have expired.

Please note that we may disclose your personal data (about our Owners and our Visitors) without your permission to the extent that we are required to do so by law or regulation or in connection with any legal proceedings or prospective legal proceedings, and in order to establish, exercise or defend our legal rights.
